Job Summary

Vepple is an enterprise SaaS platform operating in the Higher Education sector, helping universities to recruit students through personalised virtual experiences, guided tours, interactive maps and events. The platform is central to our customers’ recruitment strategies and is described by many as essential (see video).

The Events Marketing Manager owns the end-to-end planning, promotion, and delivery of Vepple’s event portfolio, playing a critical role in driving growth, strengthening customer relationships, and shaping our internal culture.

This is a high-impact, autonomous role spanning three key areas:

  • External Growth: delivering events that generate pipeline and deepen customer loyalty
  • Partnerships and Sponsorships:activating and maximising industry relationships
  • Internal Culture: creating memorable experiences that bring our team together

You’ll work closely with senior stakeholders across the business to deliver events that are not only flawlessly executed, but also commercially effective and culturally meaningful.

Working from office / home

The Board is keen to provide employees with the flexibility to choose working patterns and locations that support work-life balance while maintaining strong collaboration and connection.

This role has a requirement to be in the office at key times throughout the year, with increased frequency during event planning and attendance periods, as well as the flexibility to attend more frequently if preferred. Our office space provides workstations, collaborative / break-out space, formal meeting rooms and quick access to Leeds train and bus infrastructure.

Work-life balance manifesto

The feedback we receive from our team suggests that this is an unusual policy for such a business, hence the mention here in the job spec. This is from Tom, our CEO: “You will get paid for any extra hours that you work, or you will be given the time back.” Quite simply, you will never be asked to work more hours than contracted, without receiving that time back in lieu or being paid overtime. We have a formalised process and each person has a Google sheet to log extra hours worked. This extends to attending evening events and travelling to and from meetings. If you’re doing something outside of your normal hours that is to the benefit of the business, you need to take that time back.

Vepple Annual Team-Building Event (External; flagship)

Picture the scene: 125 senior university marketers, recruitment leaders, and agency partners gathered in a room in Leeds, giddy with anticipation. The briefing begins, the rules are explained, and teams are allocated. Then – 3, 2, 1… it’s showtime! Teams scramble across the city; some are cool and measured, others are wild and erratic, but all have one objective: to win. You would be the architect of our flagship event, managing everything from the first arrival of participants to the final celebratory beverage before the crowd heads to the Royal Armouries for the sector’s prestigious Heist Awards.

While the atmosphere is high-octane fun, the objective is deeply strategic. This event is a primary vehicle for Vepple’s brand awareness and recognition in the sector.

This event is designed to raise:

  • Natural Brand Awareness: We don’t believe in the ‘hard sell’. Instead, we demonstrate our values through action. The goal is for event attendees to leave feeling energised and for those new to Vepple to see us as a creative, reliable, and approachable partner.
  • Community Engagement: By hosting one of the most well-attended daytime events in the sector, we reinforce our role as a facilitator for the HE community – providing a space where people can share ideas away from their desks.
  • Tangible Support for the Sector: The winning team receives a £3,000 prize dedicated to their university’s training and team development. This ensures the day’s impact lasts well beyond the event, directly supporting the professional growth of our customers.

Team Summer Residential (Internal; flagship)

The morning mist lifts over the North York Moors to reveal a quaint village pub that has been entirely taken over by the Vepple team. Laced-up hiking boots replace office shoes, the aroma of a country breakfast fills the air, and the usual hum of Google Chat notifications is drowned out by real-world laughter. From canal boat challenges in Skipton to wake-surfing on Windermere and murder mysteries in rural estates, our annual residential is the heartbeat of our internal culture. You would be the curator of this experience, ensuring that from the moment the team arrives at our “base camp” to the final toast at dinner, the atmosphere is one of high-energy connection and shared purpose.

While the primary vibe is one of reward and adventure, the objective is deeply strategic for a growing team.

This event is designed to:

  • Foster Cross-Functional Bonding: In a small SaaS business, silos can form quickly. This residential breaks down those barriers, ensuring that teams across product, engineering, sales, marketing, operations and customer success can all connect as humans, not just avatars on a screen.
  • Drive Strategic Alignment: By stepping away from the daily grind, we create the headspace for big picture thinking. The residential provides the environment for the informal conversations that often lead to our biggest product or process breakthroughs.
  • Reward and Retain: We work hard, and the stakes in a growing business are high. This important internal event is a tangible way to show the team they are valued, aligning their personal success and well-being with the long-term growth of Vepple.

Vepple In-Person (External)

As the year draws to a close, ‘Vepple In-Person’ brings our full team and our customers together for a day of workshops, feature updates, and shared learning. Launched in 2024, this community-led event has grown steadily each year to become a dependable fixture in our customers’ calendars. You would be the primary coordinator, ensuring that every detail – from the technical A/V setup to the choice of evening activity – is handled with professional care to deliver an excellent experience for our customers.

The event is designed to:

  • Strengthen Partnerships: This is our chance to turn customers into advocates. By providing a space for genuine dialogue and problem-solving, we deepen the long-term relationships that sustain our business.
  • Demonstrate Practical Value: We use this day to showcase how our latest and upcoming features can solve real-world problems. Your goal is to ensure the agenda is useful and helps our customers get the most out of their investment in Vepple.
  • Showcase Success: The event is a natural environment for gathering testimonials and hosting our ‘Community Choice Awards.’ These case studies provide the authentic social proof that supports our sales and marketing efforts throughout the year.
  • Increase Sector Visibility: While the focus is entirely on our current customers, the visibility of the event helps demonstrate the value of the Vepple community to the wider sector, positioning us as a thoughtful and user-centric leader.

Regular Team Catch-ups / Socials (Internal)

In a hybrid working environment, the space between our digital meetings is where our culture lives. The hum of a laptop fan is replaced by the chatter of a team lunch, a local outing, or a creative workshop. These regular catch-ups are the steady rhythm of in-person connection that keeps our team of 15 aligned and engaged. While the team often takes the lead on proposing and planning these moments, you act as the mentor and governor of the process, ensuring every social is inclusive, purposeful, and quintessentially Vepple.

These events are designed to:

  • Sustain Hybrid Connectivity: Flexible working is core to our values, but we recognise the risk of isolation. You oversee these events to ensure they provide the meaningful face-to-face interaction needed to foster a healthy, motivated work-life balance.
  • Empower Team Creativity: We use a ‘paired-partner’ model where team members design their own socials. You provide the parameters, guidance, and briefing required to help them succeed, turning internal events into an opportunity for team buy-in and professional growth.
  • Guard Cultural Consistency: While we encourage fresh ideas, you ensure every social stays true to our core values and remains within budget. You act as the consultant for the team, helping them refine their concepts so that every event is both exciting for the group and responsible for the business.

Job Remits

To achieve the upper level of the salary range, you must provide evidence that you have substantial experience across the remits below. If you don’t yet have depth in a particular area, this will be reflected in the salary offered and supported through onboarding and development.

We are looking for someone who can deliver the following:

External Event Management, Marketing and Promotion

  • Campaign Execution: Own the promotional cycle for flagship events. This includes drafting and scheduling email sequences, LinkedIn organic posts, and coordinating paid social if applicable.
  • Content Coordination: Sourcing and managing content for events, including speaker bios, session abstracts, and “key takeaways” for post-event nurturing.
  • Creative Briefing: Writing clear, concise briefs for graphic designers to create event branding such as digital banners, printed signage, and slide deck templates.
  • Website Management: Updating event landing pages on the Vepple website to ensure information is current and conversion-optimised.

Sponsorship Activation and Fulfilment

  • Sponsorship Coordination: Managing the administrative lifecycle of sponsorships. This includes completing booking forms, tracking payment deadlines, and ensuring Vepple’s presence is secured.
  • Asset and Bio Management: Serving as the custodian of Vepple’s brand assets for external use. Supplying high-res logos, updated company bios, and leadership headshots to event organisers within strict deadlines.
  • Agreement Fulfilment: Ensuring contra deals and paid agreements are executed on both sides. Verifying that partners provide the agreed exposure (social tags, logo placement, etc.) and ensuring Vepple fulfils its own reciprocal obligations.
  • Logistical Liaison: Serving as the primary point of contact for external organisers for all operational queries, brand exposure opportunities and technical specifications.

Logistics and Venue Operations (External and Internal)

  • Site Selection and Negotiation: Conducting site visits and negotiating contracts with venues to ensure best value and fit.
  • Catering and Hospitality: Managing complex FandB requirements, including high-end dinners and large-scale catering.
  • Travel and Accommodation: Coordinating room blocks for staff and speakers, and managing transport logistics for the internal 2-day June residential.
  • On-Site Management: Acting as the Event Lead on the day of events – managing registration, timing, AV/tech setups, and real-time troubleshooting.

Event Technology and Data Management

  • Registration Ownership: Building and managing registration forms in HubSpot. Monitoring sign-up velocity and flagging risks early.
  • Lead Capture and CRM: Ensuring all event leads are correctly tagged, assigned to sales, and enrolled in follow-up workflows.
  • Feedback and Analysis: Designing post-event surveys and providing impact reports on attendee satisfaction, brand reach and overall ROI.

Internal Culture and Team Operations

  • The June Residential: Owning the 2-day logistical plan for the company residential.
  • Strategy and Socials: Overseeing (managing and/or delegating responsibility where appropriate) all internal events (Annual Strategy Day, Christmas party, scheduled team catch-ups/socials throughout the year) to reinforce Vepple’s values.
  • Budget Control: Managing the total annual event budget and tracking every line item of spend.

To be successful in this role, the candidate must demonstrate a high level of proficiency in both detailed logistical operations and creative marketing strategy.

Operational and Logistical Excellence

  • Project Management: The ability to manage multiple, overlapping event timelines with meticulous attention to detail and deadline adherence.
  • Budget Management and Negotiation: Professional experience in managing event budgets, tracking spend, and negotiating with venues and suppliers to ensure maximum value.
  • On-Site Coordination: The calm and professional presence required to manage live events, troubleshoot technical or logistical issues, and lead internal and external staff.
  • Risk Assessment: A responsible approach to guest safety and logistical planning, particularly for outdoor or large-scale city-based activities.

Creative Marketing and Strategic Communication

  • Campaign Strategy: The ability to design and execute multi-channel promotional campaigns that drive engagement and meet registration targets.
  • Copywriting: Drafting professional, engaging communications for a range of audiences, from senior university leaders to internal technical teams.
  • Brand Stewardship: A deep understanding of brand values and the ability to ensure all event touchpoints reflect the ‘Vepple’ identity.
  • Digital Proficiency: Experience in managing registration platforms and CRM systems (e.g., HubSpot) to track attendee data and report on ROI.

Professionalism and Relationship Management

  • High Emotional Intelligence: The maturity to engage with senior external stakeholders and the empathy required to mentor internal team members through the event planning process.
  • Analytical Reporting: The ability to translate event outcomes into professional reports that demonstrate commercial impact and ROI to the board.
  • Collaborative Leadership: Comfortable working closely with the CCO on high-level strategy while operating autonomously on day-to-day execution.

Experience

Essential

  • At least 3 years of experience working in an Events Marketing Manager role or a role of similar capacity
  • Proven experience in delivering multiple events within tight timeframes

Desirable

  • Previous experience working within a commercial organisation
  • A professional marketing qualification
  • Within a 2-hour commute of Leeds – helpful for office work/meetings

Key Information

Location

Leeds (Hybrid). Our office address is: Consort House, 12 South Parade, Leeds, LS1 5QS.

We offer a flexible hybrid working approach, allowing a balance between home and office-based work. For this role, you’ll attend the Leeds office as needed, with more regular in-person collaboration during onboarding and key event planning periods.

Salary

£40,000 – £45,000 per annum, dependent on experience, plus the possibility for paid overtime as per section 3.3.

Hours of Work

Full-time: 40 hrs P/W. Our standard working day is 8 hours, but our flexible working policy provides employees with the flexibility they need to balance their work and personal lives. For the right candidate, we will consider supporting a shorter working week/working day if desired (min. 32 hrs P/W), with pro-rata salary reduction.

Annual Leave

30 days including bank holidays (flexible up to 35 days with pro-rata salary reduction). An additional annual leave loyalty scheme kicks in after the first full year of employment.

Pension

Employer: 3% / Employee: 5% (gross)
